Privacy Policy
A short statement of what data we collect, why, and what we do with it. Last updated: 2026.
What we collect
The Initiative collects only the data needed to operate the program:
- Contact form submissions: the name, email, and message provided when you write to us.
- Scholarship applications: the information submitted through the official Google Form, including personal statement, reference letter, optional video, and proof-of-need documentation.
- Donor records: name, contact information, and gift amount, as required for record-keeping and acknowledgment. We do not store payment instrument details. Card transactions, when enabled, are processed by a third-party provider.
- Scholar records: information needed to ship hardware, conduct mentorship sessions, and report program outcomes.
What we do not do
- We do not sell, rent, or share contact information with third parties for marketing.
- We do not place advertising or behavioral-tracking cookies on this website.
- We do not enroll any submitter, applicant, donor, or scholar in mailing lists without explicit opt-in.
- We do not receive, store, or have remote access to any audio, video, or sensor data from a scholar's Reachy Mini robot.
Third-party services
The site uses the following third-party services. Their respective privacy practices apply to data they receive:
- Formspree, for delivery of contact form submissions. Submissions are forwarded to the Initiative's email and may be retained by Formspree according to its policy.
- Google Forms, for scholarship applications. Application data is collected through Google's infrastructure and accessible only to Initiative reviewers.
- Google Fonts, for typography. Font files are served from Google's CDN; no personal information is sent in the request.
- GitHub Pages / Netlify, for site hosting. Hosting providers may log basic request metadata as a normal part of operating a web server.
Scholars who are minors
The Initiative serves high school students, some of whom are minors. Scholarship applications by minors require an adult signature on the proof-of-need documentation. Mentorship sessions are conducted in groups with adults present. Direct, unsupervised contact between an individual mentor and an individual minor scholar does not occur without explicit family consent.
Your rights
You may at any time request a copy of the information the Initiative holds about you, ask for corrections, or request deletion. Contact info@accesstorobotics.org. We will respond within a reasonable time, typically two weeks.
Changes to this policy
If this policy changes substantively, the change will be noted at the top of this page with a revised "last updated" date. Material changes will be communicated to active scholars, mentors, and donors by email.
